About

Turn a business process into a training manual just by doing the process once.

Every enterprise software rollout hits the same wall. The implementation team configures the system, runs UAT, and moves on to the next project. What's left behind for the people who actually have to use the application every day is usually a rushed afternoon of classroom training, a handful of screenshots in a shared drive, or nothing at all. FlowTutor Snap Tool exists to close that gap, without asking anyone to become a technical writer.

HOW IT WORKS

Install the extension, sign in with your FlowTutor account, and choose a folder on your own computer where your work will be saved. From there, the workflow is simple: start a new session, switch to the application you want to document, and click through the process exactly as you normally would. Every click is automatically captured as a screenshot, with the clicked element highlighted, and a plain-language description is generated for that step. No screen recording software, no manual cropping, no copying images into a document one at a time.

When you're done, open any step in the built-in editor. You can rewrite the step description, delete a screenshot that captured the wrong moment, or open the maximize view to draw your own highlight box, add additional highlights to the same image, or crop out anything that shouldn't be in the final document. Sessions save automatically as you go and can be closed and resumed later, so a long or interrupted process doesn't mean starting over.

Once a session is ready, export it directly to a Word document or a PowerPoint presentation. Both formats are generated with your organisation's own branding: your logo, your primary and secondary colors, your chosen heading and body fonts, and your header and footer banners if you've set them up. Highlight boxes are burned into the exported images so the final document looks the same whether it's opened in Word, PowerPoint, or printed on paper.

WHO IT'S FOR

Snap Tool is built for IT Admins and Enablement Managers responsible for rolling out or supporting business applications such as Oracle Cloud, SAP, Salesforce, Workday, and similar systems. Access is restricted to these two roles within your FlowTutor account. If your organisation needs every end user trained on a new process the moment it goes live, rather than weeks later, this is the tool for getting there fast.

EVERYTHING STAYS ON YOUR COMPUTER

This is the part we think matters most, so we're stating it plainly rather than burying it in fine print: Snap Tool does not upload your screenshots, your session data, or your exported documents anywhere. When you choose a folder on first use, that folder is where everything lives, for as long as you want it to. There is no cloud database behind this feature, no server-side copy, and nothing for FlowTutor or anyone else to access on your behalf. If you delete a session in the extension, the folder is deleted from your disk. If you want to back it up, move it, or share it, that's done the same way you'd handle any other file on your computer, because that's exactly what it is.

The only thing Snap Tool sends over the network is your email and password during sign-in, which goes directly to Firebase Authentication to confirm you hold an IT Admin or Enablement Manager role, and a one-time read of your organisation's saved branding settings so exported documents look right. Neither of those touches anything you capture.

A FEW THINGS WORTH KNOWING UPFRONT

Because the entire point of this extension is to screenshot whatever application you're demonstrating, captured images can include real data visible on screen at that moment: names, record IDs, or anything else shown in the system you're documenting. That's expected and unavoidable given what the tool does. Review your screenshots before sharing an exported document, the same way you would with any manual screenshot you'd take yourself.

The extension never captures a screenshot when you click into a password field, specifically so a password manager's autofill prompt or your own typed password can't end up in a training manual by accident.

Snap Tool requests broad host permissions because it has to work on whichever application your organisation actually uses, and there's no way to know that in advance. It does not read, modify, or transmit page content beyond the screenshots and click locations needed to build your training steps.

GETTING STARTED

After installing, click the toolbar icon to open the side panel, sign in, and pick your save folder. Click the plus button to start your first session, give it a title, and optionally provide a starting URL if you'd like the extension to open a fresh tab to the right page automatically. Then just work through your process. The panel shows each captured step as you go, with Maximize and Delete available on every screenshot. When you're satisfied, use Export Word or Export PowerPoint to generate your finished document.

WHAT THIS VERSION DOES NOT DO

In the interest of setting expectations accurately: Snap Tool does not currently export to PDF or SCORM, does not support capturing inside native desktop applications (only what's visible in a browser tab), and works within a single browser window at a time. These are areas we're continuing to build on.

If you have FlowTutor's other tools, Snap Tool's Word export can be opened directly in Document Prep Tool to extract a markdown file and numbered screenshot archive, useful if you want to feed the same content into FlowTutor's AI-generated interactive training player.
